Choose the correct digital fulfillment type
Choose fulfillment based on when the final file exists. If the same finished file can be delivered to every buyer, use the instant-download workflow. If the seller must create a buyer-specific file after purchase, use made to order and set a realistic completion window.
Do not use made to order as a label for a ready file or instant download as a shortcut for a product that still needs buyer details. The listing images and description should set the same expectation as the Etsy fulfillment setting.
| Question | Instant download | Made to order |
|---|---|---|
| When is the file created? | Before publication | After the buyer orders |
| When is the file uploaded? | During listing creation | When the seller completes the order |
| What does the buyer expect? | Access after payment confirmation | Delivery after customization |
| Best fit | One ready file sold repeatedly | A file made to the buyer's specifications |
| Listsy launch support | Buyer package is ready before draft creation | Not supported |
Build an instant-download listing in a clear order
Etsy's listing form asks whether the item is physical or digital. For an instant digital listing, attach the buyer files while creating the listing. Etsy says an instant digital listing cannot be saved or published without a file attached.
- 01
Finish the product
Open and inspect every buyer file. Confirm format, dimensions, package contents, and filename before upload.
- 02
Set the listing type
Create the listing and choose Digital files for the item type.
- 03
Attach buyer files
Upload up to five supported files, with no file larger than 20 MB.
- 04
Explain the offer
Add original, accurate presentation images and copy that says the purchase is digital and lists the exact files.
- 05
Run the seller review
Review category, attributes, price, title, tags, description, AI disclosure, media, and attached files before publishing.
Write for the buyer's delivery experience
Once payment is confirmed, Etsy gives signed-in buyers access through Purchases and sends an email link. Guest buyers use their receipt email. Etsy currently does not support downloading a digital purchase through its app, so a mobile browser or computer is required.
Put short download instructions in the description, shop buyer note, and README when a ZIP is included. Explain that the buyer must extract the ZIP before using the PNG. This reduces ambiguity without treating a normal platform limitation as the buyer's fault.
Etsy does not let sellers set return or exchange policies on digital listings. You can still help a buyer when a file is corrupt, missing, or not as described, and platform rules or applicable law may affect the resolution. Avoid writing a blanket policy that promises less than the buyer is entitled to receive.
- Say digital download and no physical item near the top of the description.
- Name every included file and format.
- Explain that app users need a browser or computer.
- Tell ZIP buyers to extract the archive before opening the product file.
- Give a clear way to contact the shop if the file is corrupt or does not match the listing.
Prevent the failures that create support work
Most avoidable problems begin with a mismatch. The image suggests a physical shirt, but the buyer receives a PNG. The description says SVG, but the ZIP contains no SVG. The listing promises a bundle, but there is one design. The title says editable, but the file is flattened.
Treat the buyer package as the source of truth. Every quantity, format, dimension, transparency, editability, and physical-product claim should match the extracted files. Open the final attachment rather than trusting its extension or upload response.
| Failure | What to check | Safe correction |
|---|---|---|
| Buyer expects a physical item | First image and first description lines | State digital download and no physical item |
| Buyer cannot find the file | Download instructions | Direct app users to a browser or computer |
| Claimed format is missing | Description against ZIP manifest | Remove the claim or add the promised file |
| ZIP will not open | Extraction test before upload | Rebuild and retest the archive |
| Transparent art looks black in gallery | Listing image background | Use a non-transparent presentation image |
Understand what draft verification proves
Listsy can create or refresh an Etsy draft, upload the selected listing images and buyer ZIP, apply copy, and read the listing back. The technical evidence can confirm the listing ID, that the state remains draft, and that expected image, file, and optional video counts are present.
That evidence does not show that Etsy reviewed or accepted the product, that the category and attributes are correct, that the design is non-infringing, or that the listing will rank or sell. The seller must open the draft and make the final publication decision.
