Name the page the buyer needs
Printable is a delivery description, not a complete product idea. A weekly meal planner, a birthday party sign, and a sheet of gift tags solve different problems. Choose one of those jobs and decide what a useful finished page needs to contain.
Write the offer before designing. For example: one fixed weekly meal-planning page, supplied as separate US Letter and A4 PDFs, with space for meals and a shopping list. That is an editorial example, not a product we have sold or tested. It gives you concrete requirements to check.
If buyers must change names, dates, or colors, decide whether you are selling an editable template or doing the editing yourself. A fixed PDF is not editable just because it came from design software. State the exact editable areas and app requirements when editing is part of the purchase.
Build the promised sizes as separate checked exports
US Letter is 8.5 x 11 inches. A4 is 210 x 297 mm. Their proportions differ, so shrinking one layout does not necessarily produce a good version of the other. Check text, writing areas, trim marks, and margins on each export.
PDF is useful for fixed page layouts. PNG and JPG can suit finished raster artwork, but their pixel dimensions still need to support the advertised print size. An SVG contains vector paths and serves a different task. Include only formats you can open and test.
For raster artwork, divide pixels by intended inches to find pixels per inch. A 3000-pixel side spans 10 inches at 300 pixels per inch. That calculation does not prove sharp text, correct color, or compatibility with every printer. Do not turn a square artwork file into a claimed full-page layout without checking the actual placement and export.
| Promise | Export to inspect | Check |
|---|---|---|
| US Letter page | 8.5 x 11 inch layout | Nothing important falls outside the usable print area |
| A4 page | 210 x 297 mm layout | Text and writing space still work at the changed proportions |
| Editable version | The actual template or source access | Buyer permissions, fonts, and editable fields work |
| PNG artwork | The final raster file | Visible artwork pixels, transparency, and intended size |
Print the download, not the working document
Export the file, close the design app, and open the download in the viewer your instructions name. Print it at the intended size. Record whether you used actual size or a scaling option, the paper size, and the printer settings that affected the result.
For a planner, write in the spaces. For cut-out tags, cut a sheet and inspect the edges. For a sign, check the smallest text at normal reading distance. Dark backgrounds may use more ink than buyers expect. Make the preview and instructions honest about that.
Home printers have different printable areas. Do not promise borderless results on every device. If a buyer needs a print shop, state the file size and any preparation they should discuss with that shop. Screen colors and printed colors can differ; a mockup does not resolve that difference.
- Check every page, not just the cover.
- Look for clipped text, missing symbols, and changed fonts.
- Test page order and any links or form fields you advertise.
- Keep a dated note of the setup you actually tested.
Keep the buyer package small and easy to understand
Give files readable names that identify the product and size. For the meal-planner example, weekly-meal-plan-letter.pdf and weekly-meal-plan-a4.pdf are clearer than final-v7.pdf. Open every export and remove drafts, duplicate pages, private references, and previews that are not part of the purchase.
Use a ZIP when it helps group the promised files. Test extraction into a new folder and include short instructions. A ZIP is not guaranteed to make compressed images smaller. If the package is too large, inspect its contents and export settings before reducing quality.
Show the pages and explain the download
The first image should make the printable itself easy to understand. Show a readable full-page preview and close-ups where details matter. A styled desk scene can add context, but it should not hide the layout or suggest that paper, frames, or stationery will ship.
State the page count, file formats, included sizes, whether editing is possible, and what the buyer must provide. Add short printing instructions based on your test. If no physical item is included, say so near the start of the description.
Etsy's buyer guidance directs app users to a browser or computer for digital downloads. Explain how to extract a ZIP when you use one. Giving that instruction before a purchase is more helpful than waiting for a confused message afterward.
Keep your design contribution and tool limits clear
Use original work and check the licenses for fonts, illustrations, and other supplied assets. Permission to use an asset does not automatically establish that the finished product meets Etsy's seller-design rules. Avoid copied characters, logos, and other sellers' layouts. Disclose AI use when it helped create the item.
Listsy can prepare a transparent PNG illustration, its buyer ZIP, listing images, editable copy, and an Etsy draft. You can also use artwork in your own separately prepared layout, subject to the rights involved. Listsy does not currently generate tested planner PDFs, editable invitation templates, or multipage workbooks.
If your product is the finished PNG itself, use the PNG seller workflow. If your product is a printable page, use a layout tool, export the promised sizes, and complete the print tests yourself. Do not advertise a PNG as a PDF or template that the download does not contain.
